The University of Luxembourg is laying the foundation of a thriving entrepreneurial ecosystem by offering an Entrepreneurship programme and Incubator which mission is to support students, researches, employees and alumni in acquiring transversal skills and improve their employability as well as providing support in bringing their business idea to the market.

The University of Luxembourg incubator is seeking an energetic and motivated Administration assistant student to join its international team. The purpose of this interesting and varied role is to achieve administrative tasks and to support the team in their daily business at the University of Luxembourg Entrepreneurship programme and Incubator.

Your Role...

You are familiar with the initiatives of the Incubator of the University of Luxembourg. You have a first work experience as assistant (ideally in Luxembourg).

Based on Belval campus, the Administrative assistants report directly to to the Head of the Entrepreneurship Programme and Head of Incubator and are responsible for supporting the coordination of the day-to-day operations of the Entrepreneurship programme and Incubator and administrative tasks ensuring a successful execution of the programme. Using their effective communications skills they will resolve time sensitive issues with internal departments as well as external providers whilst dealing with a variety of cultures and personalities.

Key activities...

Support the team for all administrative tasks and give support in the event organization (Ideation Camp, Summer School, conference, workshops, mentoring, etc….) including:
Organization and follow-up of quotation, purchase orders, invoices as well as budgets
Supporting with the logistics of business trips of team members, organizing visits of incoming guests
Room booking and
Assist the team in the day to day activities
Other duties as assigned

What we expect from you…

You have just started your Master en Alternance’s degree in administration or equivalent and as part of your studies, you are required to undertake a part-time internship lasting at least 6 months, starting between September 2021 or October 2021;
Pleasant, friendly and helpful personality, open-minded, proactive, able to multi-task and able to work autonomously.
Dynamic, team player, enjoys working in a multidisciplinary and multicultural environment.
Ability to think quick and out of the box, priorities tasks, excellence in managing responsibilities and team requests.
Aptitude in dealing with numbers and budgeting.
An excellent command of written and spoken English and French, knowledge of German and/or Luxembourgish would be an advantage
Good organizational and communication skills with attention to details and accuracy
Proficiency in the use of standard office tools (especially Word, Excel, PowerPoint and Outlook)
